Kilneo

Privacy policy

Effective October 16, 2026

Kilneo (kilneo.com) is where teams and their clients manage projects, files, reviews and invoices. Each workspace on Kilneo has its own address. This page explains what personal data Kilneo handles, why, and the choices you have.

What we collect

How we use it

We use your data only to provide Kilneo: to sign you in, show you the workspaces you belong to, let your team and clients work together, send sign-in codes and notifications, keep the service secure, and fix problems. We do not sell personal data and do not use it for advertising.

Sign in with Google

Kilneo asks Google only for your basic profile (name, email address, profile picture). We use it to create or find your Kilneo account and sign you in. We do not request access to your Gmail, Drive, contacts or any other Google data, and we do not share Google user data with third parties except the service providers listed below that run Kilneo.

Who can see your data

People in the workspaces you belong to see what their role allows — for example your name, picture and the work you share with them. Workspaces on Kilneo are separate: one workspace cannot see another workspace’s data.

Service providers

Kilneo runs on: Vercel (hosting), Neon (database), Cloudflare R2 (file storage), Resend (email), Sentry (error monitoring), Pusher (live updates), Railway (background services and the Discord bot), and Google and Discord for sign-in. They process data only to provide their service to Kilneo.

Cookies

Kilneo uses only the cookies needed to keep you signed in and to complete sign-in securely. We do not use advertising or tracking cookies.

Keeping and deleting data

We keep your data while your account or your workspace uses Kilneo. To access, correct or delete your personal data, contact us at the address below and we will respond within 30 days. Work you created inside a workspace may be kept by the team that owns that workspace as part of its records.

Files deleted in a workspace are kept in its Trash for 30 days, then permanently erased. When someone chooses “Delete forever” (or empties Trash, or deletes a Space permanently), the file disappears for everyone at once, but we keep the file and its comments for 30 more days so the workspace owner can ask us to recover it. After that it is permanently erased.

Changes

We will update this page when our practices change and show the new effective date above.
